Operations Specialist – Edmonton

Reporting to the Program Leader, the Operations Specialist will lead the operational efficiency of the Academic Services Department. The Operations Specialist will also support the overall academic quality assurance, scheduling of Instructors for ongoing programs, and liaise with staff, stakeholders, and Instructors to ensure Bredin is providing the highest level of support for our students. Academic Assessment and Quality Assurance:

  • Contribute to quality assurance tasks for yearly Ministry Audit as determined by Academic Team
  • Support the Internal Academic Audit process of virtual academic folders and grading (on the online portal (CRM) and the Learning Management System (D2L) report findings to the Program Leader
  • Support the accuracy and consistency of the Virtual Academic Folders on the Common Drive
  • Support the creation of Excel Sheet templates for all programs

Academic Operations:

  • Manage and maintain textbook and course material supplies inventory
  • Provide textbook access for instructors
  • Initiate instructor’s onboarding/offboarding process (Create instructor’s account MS Office, D2L, CRM)
  • Assist the Program Leader with the instructor’s orientation
  • Assign instructors to their course assignments on D2L
  • Update instructor’s profile on D2L
  • Audit instructor’s grading and progress on D2L on a weekly basis
  • Support the triage of inquiries sent to the ‘Instruction’ and ‘Academics’ blanket e-mails
  • Support the handling and resolution of instructors’ inquiries related to CRM, curriculum, grading, and College Policies
  • Coordinate with the Academic Team to resolve instructional issues
  • Guide instructors through the Internal Academic Audit Cycle, the Filing Process, and CRM walkthrough during Instructor Onboarding and Orientation
  • Provide first-week onboarding and support to new instructors on CRM, D2L and MS Teams related issues.
  • Request and deactivate new instructor email addresses
  • Request and collect instructor qualifications
  • Assign instructors to the required courses on CRM
  • Contribute to the formulation of student services and academic procedures
  • Assist with academic administrative support tasks as needed

Scheduling:

  • Create Program and Classroom Schedules, and maintain updated versions of schedules as required
  • Create New Start Date sheets, and update as required
  • Schedule programs on CRM

Accreditation/ Ministry:

  • Contribute to the formulation of New Program Information Form proposals for submission to the Ministry as required by Academic Team

 

Qualifications

  • Diploma or Certificate in Project Management is an asset
  • Minimum of 3 years’ experience in project management in a student-centred environment
  • Experience working on a learning management platform is an asset
  • Knowledge of adult learning principles and best practices
  • Understanding of academic quality assurance principles
  • Understanding of outcomes-based education
  • Ability to manage complex projects
  • Exceptional written and verbal communication skills
